Completing your online declaration form

THINGS TO KNOW BEFORE STARTING

​

You will need to submit evidence on the online form, so you will need a photo or saved file of the documents on the device you are using. To see what documents you need, please see the list below.

​

On the form, you will see it mentions route 1, 2, 3 and 4. So you can understand what best fits you please see what each route means:

​

Route 1 – This route means you live in an IMD 1-3 area. This means your postcode already qualifies, so you won’t have to submit any income information, just proof you live at the address.

​

Route 2 – This route is for applicants who are in receipt of benefits. This means you only need to submit evidence of benefits which contains your proof of address.

​

You will need to provide a copy of all pages of your most recent benefits evidence letter.

Route 3 – This route is for applicants who have a household income below £31,000.

​

INCOME AND EVIDENCE REQUIRED

Route 4 – This route is for applicants who have a household income below £20,000 after taking out housing costs such as mortgage, rent, council tax.

Things you will need:

​

  • Route 1 – You will need a recent utility bill (with a date within the last 3 months) or a council tax bill (for the current year).

  • Route 2 – You will need the a current benefits letter for one of the residents.​​

​

Please read the table under route 3 and 4 to see what documents you need to provide.

Things you won’t need:

​​

  • Evidence that doesn’t have the applicant’s address.

  • Evidence that is not your current financial situation.

TO START THE FORM, FOLLOW THESE STEPS

​

Step 1. Confirm your email address – when starting the declaration form you will be asked for your email address. Please fill in your email address that was used in the application form.

​

Step 2. Click the box that says, “click here to get your pin code” and this will send a code to the phone used in the application form, or if you haven’t submitted one it will be emailed to you instead.

​

Step 3. Enter the pin code into the box and click “Pin Entered”. After this, you will have access to the form to complete.

 

COMPLETING THE FORM

​

If you’ve started the form and can’t finish it in time, don’t worry just scroll down to the bottom and click update to save your progress! You can then go back to the link in the email and continue where you left off.

​

After confirming you are off gas you will need to add a resident to the “Household Member Details”. You add a resident by clicking “+ Add New” and filling out each dropdown.

​

After filling out the resident information, please complete the “Evidence Upload Section” with the evidence you have relating to the resident you have added. You add evidence by clicking “+ Add New” and filling out each dropdown. Please note, the evidence date is the date on the document you are uploading NOT the day you are completing the form.

​

After submitting your evidence, you will need to fill out the information of the applicant in the “Declaration” section and click the tick box to confirm you haven’t received funding in HUG1.

After completing the Declaration, you will need to confirm the details in the declaration, confirm your tenure as either an owner occupier/private tenant and signing in the box.

​

After signing in the box, you can go down to “Have you finished with this form?” and change the status to “Yes – I have completed the form and uploaded all the required evidence”. Then click update and this will send the form to our team to check your evidence.

 

APPLICATION BY ROUTE

​

Route 1 – Certain Geographical Locations 

You need to confirm you are off gas and submit proof you live at the property. When adding a resident, you only need to add ONE resident, which is the person on the evidence.

 

To confirm your eligibility, we need you to provide us with evidence that you live at the property that you have applied for energy efficiency measures.

 

Acceptable documents providing proof of residence include a recent Council Tax bill, a utility bill (e.g., gas, electricity, or phone) or a certificate from a supplier of utilities confirming the arrangement to pay for the services on pre- payment terms.  (Please note that mobile telephone bills are not acceptable as they can be sent to different addresses).

*The date on these documents should be within the last three months and they must contain the name of occupant and address as per the application address.  Photocopies and documents downloaded from the internet will not be accepted*

​

Utility bills in joint names are permissible.  Local authority tax bill valid for the current year. 

 

Route 2 – One member of the household is in receipt of a qualifying benefit

​

You need to confirm you are ‘Off Gas’ and upload evidence for the member of the household is in receipt of a qualifying benefit.  To prove your eligibility only one resident needs to be in receipt of a qualifying benefit, and you only need to upload evidence for one individual. 

​​

The qualifying benefits are Child Tax Credit, Working Tax Credit, Housing Benefit, Income-based Jobseeker’s Allowance, Income-related Employment & Support Allowance, Income Support, Pension Guarantee Credit, Pension Savings Credit, and Universal Credit.

 

The following are not qualifying benefits and are not accepted as evidence to prove eligibility for the scheme: Personal Independence Payment (PIP), Carers Allowance, Attendance Allowance, Disability Living Allowance, Contributions based ESA, and State Pension.  Please do not upload any of these documents as evidence.

Please ensure that the date on the evidence provided is not older than 12 months.

​

The evidence must be addressed to the same property where the works will be carried out.

 

Please note that if your benefit evidence letter has a different address (e.g. if you have recently moved to the property and your evidence has your old address on it) we can accept the benefit evidence letter but we will also require evidence of residency at the address where the works will be carried out.

​

If you receive your benefit statements digitally then we can accept a screenshot of your statement.

​

Route 3 - Household total gross annual income is less than, or equal to, £31,000

​

This is total income for all members of the household (aged 18 years+); Individuals do not have to be related in any way to be considered members of the same household. This needs to be the gross income (before tax and National Insurance deductions) and it includes income from employment, self-employment, state benefits (excluding Personal Independence Payment, Disability Living Allowance, Carers Allowance and Attendance Allowance), tax credits, state pension, investment income, private pensions and annuities.

 

You will need to provide evidence for this eligibility route. The required evidence is listed in the table above.

Please note, income evidence will need to be provided for all members of the household aged 18 years + and all evidence will need to display your address so that we can link it back to your application.

​

Route 4 - Household income is less than, or equal to £20,000 after housing costs and council tax are deducted

​

You will need to provide evidence for this eligibility route. The required evidence is listed in the table above.

​

This is total income for all members of the household (aged 18 years+); Individuals do not have to be related in any way to be considered members of the same household. This needs to be the gross income (before tax and National Insurance deductions) and it includes income from employment, self-employment, state benefits (excluding Personal Independence Payment, Disability Living Allowance and Attendance Allowance), tax credits, state pension, investment income, private pensions and annuities., less rent or mortgage costs and council tax payments.
